To utilize a laptop both on and off your network, the best option is to create two data folders.
- Data folder 1 – Local to the laptop when it is not connected to the network
- Data folder 2 – Resides on the network for when the laptop is connected to it

Creating a data folder on the local hard drive
1. Open Point Administrator by going to the desktop and selecting Start > Programs > Calyx Software > Point Administrator.
2. In the Data Folders section, click Setup Data Folders.
3. In the Data Folder Manager window, click Create New.
4. In the New Folder Supervisor Password window, enter a password and click OK. The password will be used to manage the folder.
Note: The password is case–sensitive. Please write it down for future reference.
5. In the Create New Data Folder window, click in field 1.
6. Enter a location for the new folder (for example, C:Local)
7. In field 2, enter the name of the data folder. The data folder name will be displayed within Point. (example: Local Data Folder)
8. Optional: In the Copy From dropdown list, select a data folder from which copy folder settings (dropdown lists, company information, etc.) will be copied. Check Include User Security Settings if you want to copy the security settings.
9. Click Create.
10. The Modify Data Folder Properties window allows you to modify the folder name and enable security.
11. If you want to restrict access to the folder using Point security, click Yes. If you do not want to restrict access, accept the No default. See article 2705 Setting up Point Security if you are setting up security to access Point.
12. Select Yes for Available to users.
13. Click OK. The new folder should appear in the Data Folder Manager window.
14. Exit Point Administrator.
Connecting the laptop to the network data folder
1. From the desktop, select Start > Programs > Calyx Software > Point Administrator.
2. In the Data Folders section, click Setup Data Folders.
3. In the Data Folder Manager window, click Connect Existing.
4. In the Connect to Existing Folder window, click Browse.
5. Scroll down and click the plus sign to expand My Network Places.
6. You may have to expand some other options such as Entire Network, Microsoft Windows Network, and the Workgroup name.
7. Locate the computer name of the server or main computer.
8. Click the plus sign to expand the computer name.
9. Select the data folder that you are connecting to, such as PNTDATA, and click OK.
10. From the Connect to Existing Folder window, click OK. This will add the folder to the Data Folder Manager list.
11. Repeat steps 3-9 for any additional data folders that were shared from the server and need to be connected to the laptop. (For example, a Closed or Denied folder).
Note: When the laptop is not connected to the network, only the local data folder will be available. The network data folder will become available when the laptop is connected to the network.
If there are files from the network that need to be worked on offsite, be sure to copy the files prior to disconnecting the laptop from the network. When the laptop is connected back to the network, you can copy any new files or updated files from the local data folder to the network data folder.
